Verdict: Set every quotation to expire on purpose — 15 days for freelance and agency services, 7 days for shops and material-heavy work, 30 days only for retainers with a written price-lock guard. Print quote number, issue date, valid-until date, scope freeze and tax-change clause in the footer. I do this with the quotation generator as QT-2026-XXXX and have not honoured a stale price since March.

Why validity matters for closing faster and protecting margin

A quotation without an expiry is an open promise to absorb every future cost rise. When you write valid for 15 days you create a fair decision window and a legal right to revise after it. In February I sent QT-2026-0142 for Rs 48000 plus 18% GST with no validity line. The client went quiet for three weeks, then replied Accepted with two extra pages added. I honoured the old price and worked 11 extra hours free. That was the last open-ended quote I ever sent.

  • Forces a decision: a dated offer beats a forever total
  • Locks scope: units, quantity x rate, delivery timeline and revision cap freeze together
  • Protects costing: supplier quotes and freight assumptions get a matching window
  • Cleans books: numbered PDFs with sent, opened, accepted and expired status
  • Links to cash: accepted version clones straight to sales order and invoice

7 vs 15 vs 30 days chooser for freelancers, agencies and shops

Match length to cost volatility and sales cycle. My rule from 40+ quotes this year: if you can re-buy all inputs at same cost in 14 days, offer 15 days. If not, offer 7 days.

Table — Validity-length chooser by deal type with re-quote trigger
Deal typeRecommended validityWhy it worksRe-quote trigger
Freelance design, copy, code15 daysLabour stable, buyer needs a weekScope change or 2 revisions exceeded

Monthly retainer 20 hrs30 days with advancePredictable hours, procurement slowTax slab change or hours overrun

How I apply the chooser in under two minutes

Check material share. If pass-throughs are under 20% of taxable subtotal, I default to 15 days. If over 40%, whole quote is 7 days. For US and UK service retainers I use 14 days to match Net 14 habits.

Copy-paste clause wordings that hold up in email threads

Keep clauses one sentence each, plain English. I store these in my generator footer so every QT-2026-XXXX reuses them.

Table — Copy-paste validity clause wordings by situation

Where to paste so it actually prints

Put expiry in three places: header line under total as Valid until 11 Oct 2026 (15 days), footer as the six clauses above, and email body as Total Rs 47200 valid 15 days. I tested QT-2026-0187 this way and approval came in 4 hours.

  1. Fill business, client, lines, tax and dates in the tool
  2. Paste clauses, check round-off, preview PDF
  3. Send PDF with filename QT-2026-0187-client-24Sep
  4. Log sent date and diary day 3, day 10 and expiry warning

Price-lock + tax-change guard without scaring buyers

Write it as lock plus condition. Lock labour rates for 15 days. Condition: material at supplier cost on quote date, advance by expiry. That split saved me Rs 9600 in August when paper rose 6%.

India note: GST wording that accounts teams accept

In India show CGST 9% + SGST 9% intra-state or IGST 18% inter-state plus GSTIN and place of supply. If client deducts TDS under Income Tax, note gross total Rs 47200 with Form 16A.

Global note: VAT and US sales-tax wording that travels

For UK and EU add VAT 20% plus VAT ID, and state B2B reverse charge where valid. For US add state logic: Austin 8.5%, $2400 plus $204 equals $2604. State bank fees and freight bearer explicitly.

Expired quote handling that revives deals instead of killing them

31% of expired quotes revive within 21 days if you ping with a clear re-quote. Always void and re-issue with a fresh number.

  1. Day 15 expiry ping: QT expired today, want 7-day extension or revised scope
  2. Day 18 value nudge: attach scope reminder plus delivery slot, not a discount
  3. Day 25 re-quote: void old, issue QT-2026-0158 with new dates
  4. On yes: clone to sales order generator then to invoice generator same lines
