Bottom line: If you quote from India to Indian and US buyers in 2026, you need two rate cards, two tax treatments, and one margin rule. I priced a Rs 40000 brand plus web support package for an Indian client and it closed at Rs 47200 GST-inclusive, and I priced a $2400 strategy plus implementation retainer for an Austin client and it closed at $2604 with 8.5 percent sales tax. Both used the quotation generator with numbered PDFs and 15 day validity.
I learned this split after underpricing a US quote in 2024 by converting my Indian rate at spot FX. Now I never convert directly. I re-price from hours, costs, tax layer, overhead, and gross margin target.
Rate reality 2026 and hourly bands I quote from
In India, solo freelancers typically close between Rs 1500 per hour and Rs 6000 per hour ex-tax. Agencies typically quote Rs 3500 per hour to Rs 9000 per hour ex-tax. In the USA, the same solo skills close between 60 dollars per hour and 150 dollars per hour ex-tax, agencies between 120 dollars per hour and 250 dollars per hour ex-tax.
How I pick the anchor before I type a number
I estimate honest hours, multiply by my floor rate, add pass-throughs at cost, add buffer, then test margin. The quotation generator keeps the maths visible while I decide, which stops silent discounting.
| Work type | India band ex-tax | USA band ex-tax | My quote anchor 2026 |
|---|---|---|---|
| Logo plus mini brand kit | Rs 25000 to Rs 40000 | $600 to $900 | Rs 32000 or $750, 2 revisions |
| 10-page marketing site | Rs 55000 to Rs 80000 | $1800 to $2800 | Rs 68000 or $2200, 3 milestones |
| Expert day rate | Rs 8000 to Rs 15000 per day | $250 to $450 per day | Rs 12000 or $350, Net 7 India Net 14 USA |
| Monthly retainer 20 hours | Rs 40000 monthly | $1200 monthly | Rs 40000 plus GST or $1200 plus tax if nexus |
| Shop install labour | Rs 1200 labour plus material | $45 labour plus parts | Labour fixed, material at slab, freight extra |
- India card shows rupees, GST extra, UPI plus bank, 50 percent advance, Net 7 balance
- USA card shows dollars, sales tax only with nexus, Stripe or wire, Net 14 balance
- Both cards show QT number, issue date, expiry date, quantity times rate, subtotal, tax, grand total
Tax layer comparison for India GST versus US sales tax and VAT
In India, services mostly sit at 18% GST with CGST 9 percent plus SGST 9 percent intra-state and IGST 18 percent inter-state. My Rs 40000 test gave GST 18 percent equals Rs 7200, grand total Rs 47200.
In the USA, sales tax is state plus city, 0 to 10 percent, and depends on nexus plus service taxability. My $2400 Austin test gave 8.5 percent equals $204, total $2604. For UK and EU B2C I add VAT near 20 percent on top with VAT ID on footer, for B2B with valid VAT ID I use reverse charge. Line total equals quantity times rate, subtotal sums lines, tax amount equals subtotal times tax percent divided by 100, grand total equals subtotal plus tax plus round-off.
Overhead FX fees and buffer you must add before quoting
I add five layers before margin check. Payment rail cost near 3 to 4 percent plus FX spread. FX timing haircut 2 percent to spot. Admin time 3 to 5 hours per $2000 project. Contingency 10 percent buffer. Compliance cost spread per quote. On the $2400 retainer, 10 percent buffer equals $240, gateway plus FX near $96. On the Rs 40000 India job, 10 percent buffer equals Rs 4000.
- Add 10 percent contingency on labour plus management, not on pass-throughs
- Add 3 to 5 percent for Stripe or PayPal plus FX spread
- Lock FX by fixing currency and validity to 14 days USA and 15 days India
When I raise buffer versus when I cut scope
I raise buffer when scope has unknowns. I cut scope when margin fails even with fair buffer, by removing nice-to-have pages or moving support to retainer.
Margin math 35% rule and how I protect profit
Every quote must hold gross margin above 35 percent on ex-tax revenue after true delivery cost. India Rs 40000 ex-tax case with Rs 25000 net cost gives 37.5 percent. Pass. USA $2400 ex-tax case with $1556 net cost gives 35.2 percent. Pass. I verify both in the profit margin tool and log them in the product performance analyzer Monday sheet.
| Cost base ex-tax | Buffer plus fees loaded | Quote maths ex-tax | Margin result and action |
|---|---|---|---|
| Rs 25000 cost on Rs 40000 | Rs 4000 buffer included | 40000 minus 25000 divided by 40000 | 37.5 percent, send with 15 day validity |
| Rs 27000 cost on Rs 40000 | Rs 4000 buffer included | 40000 minus 27000 divided by 40000 | 32.5 percent, cut scope or lift to Rs 43000 |
| $1556 cost on $2400 | $240 buffer plus $96 gateway FX | 2400 minus 1556 divided by 2400 | 35.2 percent, send with 14 day validity |
| $1700 cost on $2400 | $240 buffer plus $96 gateway FX | 2400 minus 1700 divided by 2400 | 29.2 percent, remove support or lift to $2600 |
Pricing mistakes that kill India to USA quotes
- Quote hours times band rate in local currency, then add local tax, never convert headline totals by spot FX
- Show tax split with ID or exempt note, state currency and fee bearer
- Load 10 percent buffer plus rail plus FX plus admin, then test 35 percent margin
- Lock QT number, issue date, expiry date, scope exclusions, revision limit, payment terms
- Follow up day 3 and day 10, re-quote on expiry with fresh number
Next steps to L1 quotation guide plus KPI dashboard
