Verdict: If your quotes skip numbers or reuse QT-42 twice, audits turn painful fast. I now run every offer as QUO-2026-0001 with prefix plus year plus four-digit padding, issued from a single log and locked after send, with voids logged never deleted. It mirrors L1 logic where QT-2026-0187 at Rs 40000 plus 18 percent GST equals Rs 47200. Build the PDF in the quotation generator and link it to sales order to invoice to receipt.
Why numbering wins audits
Numbers turn piles of PDFs into a system an outsider can trust. I learned this in a March 2025 client audit. The finance lead asked for QT-2026-0181 through QT-2026-0190. I had QT-2026-0187 clean at Rs 47200, but 0183 was a chat total with no PDF, 0185 was reused for two clients, and 0188 was deleted. Since then I use one sheet with number, date, party, amount and owner, I lock after send, and I log voids with reason. See the order numbering workflow guide.
- Sequential proof shows no income hidden in gaps
- Prefix clarity separates QT offers from SO promises and INV demands
- Year grouping keeps January review and tax filing fast
- Cross-references trace QT to SO to INV to receipt in one search
Anatomy QUO-2026-0001 (prefix, year, padding)
QUO-2026-0001 works because three blocks do three jobs. Pick one prefix for quotes and never mix them. I use QUO for 2026 because it sorts cleanly beside PO and SO.
| Block | Example in QUO-2026-0001 | What I set | Why it matters |
|---|---|---|---|
| Prefix | QUO | QUO for quotes only, never share with PO or SO | Identifies type and filters logs |
| Year | 2026 | Four-digit calendar or FY start year | Groups audits and supports reset |
| Sequence | 0001 | Four digits, 0001 to 9999, then five digits | Keeps sorting correct in sheets |
| Separators | Hyphens | Hyphens only, no spaces | Avoids file and import errors |
Prefix choice I enforce
Use QUO for quotes, SO for selling commitments, PO for supplier buys, WO for work authorization, INV for invoices, RPT for receipts, EST for estimates. Each type gets its own counter. I print the list near dispatch.
Year and padding rules
Always use four digits. For global runs I use QUO-2026-0001. For India FY I use QUO-25-26-0187. Pad to four digits. Issue only from the quotation generator plus a log with number, date, client, amount and owner.
Yearly reset vs continuous
Both work if the year stays in the number and old numbers stay searchable. Yearly reset keeps numbers short and audit-friendly. Continuous sequence preserves cross-year trace. Under 2000 quotes a year with yearly filing, reset. With multi-year projects, run continuous but keep year prefix.
| Rule | Yearly reset | Continuous |
|---|---|---|
| January example | QUO-2026-0001 restarts at 0001 | QUO-2026-1043 continues prior run |
| December example | QUO-2026-1840 closes, archived read-only | QUO-2026-2890 keeps climbing |
| Strength | Short numbers, clean yearly check | No cross-year duplicates, easy long trace |
| Risk | Short digits repeat yearly, needs year filter | Numbers grow long, mistyped without copy |
| Best for | Freelancers, shops, agencies | Multi-year AMC and enterprise jobs |
India FY variant April to March
India filing follows financial year April to March. I use QUO-25-26-0187 for FY 2025-26. Place of supply decides CGST plus SGST or IGST. My Rs 10000 test gave Rs 900 plus Rs 900 intra-state or Rs 1800 IGST inter-state, total Rs 11800. I check slabs in the GST calculator before locking the PDF.
Global calendar variant January to December
Outside India I use calendar QUO-2026-0001 reset each January. UK B2C adds 20 percent VAT, Germany 19 percent, US Austin 8.5 percent where nexus applies. My 2400 USD test plus 204 USD tax equals 2604 USD.
Void log handling
- Mark void same hour with date and owner initials
- Write short reason such as scope changed or price expired after 15 days
- Get approver sign for voids above Rs 50000 or any IGST quote
- File PDF as VOID plus number plus client plus date, never delete
- Issue replacement as next fresh number linked to void
- Review voids monthly for repricing or missing HSN patterns
Numbering across QT-SO-INV-Receipt
Keep separate runs with clear prefixes, then cross-reference every handoff. My chain is quotation number to sales order to invoice to receipt. Live example is QUO-2026-0187 to SO-2026-0187 to INV-2026-0188 to RPT-2026-0038 with identical lines. Subtotal Rs 40000, CGST Rs 3600 plus SGST Rs 3600, total Rs 47200, valid 15 days, 50 percent advance Rs 23600.
How I link without mixing counters
On the sales order I write Against QUO-2026-0187 with promise date after stock check. I build it in the sales order generator. On the invoice I write Against QUO-2026-0187 and SO-2026-0187 with Net 7 due date in the invoice generator. On payment I issue receipt same hour in the receipt generator. When I must buy materials first, I lock price with the purchase order generator as PO-2026-0081.
