Verdict: Quotes rarely lose on price. They lose on vague maths, open expiry and late follow-up. I lost Rs 184000 across three deals in 2025, then won back Rs 132400 in 60 days with numbered PDFs and day 3 nudges. Rs 40000 plus 18 percent GST equals Rs 47200 in India, and 2400 USD plus 8.5 percent Austin tax equals 2604 USD globally. I built both as QT-2026-0187 in the quotation generator with 15 days validity and 50 percent advance.

The 7 deadly quotation mistakes that cost me Rs 184000 in 2025

I tracked 34 quotes totalling Rs 11.2 lakh in 2025. I lost 11 deals worth Rs 4.6 lakh, and 7 losses worth Rs 184000 were my fault. The seven I check now are underpricing to win, overpricing as one lump, missing or wrong tax, no validity date, vague scope, sloppy presentation with no number, and slow sending with no follow-up.

  1. Underpricing that burns margin
  2. Overpricing as single scary total
  3. Missing tax that stalls accounts
  4. Open validity with no expiry
  5. Vague scope with no exclusions
  6. Word or chat quote with no number
  7. Late send plus silence after send

Pricing errors from underpricing and overpricing to missing tax

I underpriced a brand sprint at Rs 32000 ex-tax to beat a Rs 40000 rival. I won, worked 42 hours instead of 28, and netted Rs 198 per hour after tax.

Underpricing that wins jobs and loses months

My Rs 40000 test shows the trap. Design 1 x Rs 25000 equals Rs 25000, pages 6 x Rs 2500 equals Rs 15000, subtotal Rs 40000, GST 18 percent equals Rs 7200, grand total Rs 47200. Quote Rs 40000 inclusive by mistake and you keep only Rs 33898. I show line items with quantity x rate and round-off to rupee in preview.

Overpricing as one lump with no breakdown

I lost a Rs 95000 site quote to a Rs 106200 phased rival. Their PDF showed Phase 1 Rs 35000, Phase 2 Rs 55000 and monthly support Rs 15000 with timelines and milestone billing 40/40/20. Now I never send a single line over Rs 50000.

Missing tax that stalls payment in accounts

In India services mostly carry 18 percent GST. I show CGST 9 percent Rs 3600 plus SGST 9 percent Rs 3600 local, or IGST 18 percent Rs 7200 inter-state, with GSTIN and place of supply. UK 1500 GBP plus VAT 20 percent equals 1800 GBP. Austin 2400 USD plus 8.5 percent sales tax equals 2604 USD. I verify slabs in the GST calculator first.

Validity plus scope errors that keep quotes open forever

In February I sent QT-2026-0142 for Rs 48000 plus GST equals Rs 56640 with no validity line. The client replied after three weeks with two extra pages added. Now every PDF prints quotation number, issue date, validity days as valid until 11 Oct 2026, payment terms 50 percent advance, delivery timeline 10 days, revision limit two rounds and scope exclusions.

  • Freeze units, quantity x rate and delivery date together
  • Cap at two rounds, price extras at Rs 2500 per day India or 120 USD global
  • Print 50 percent advance to start plus 50 percent kill fee on pause
  • Log voids, never edit a sent PDF in place

Presentation errors from Word files to PDF with no number

Same Rs 40000 scope as chat text sat 9 days. Resent as QT-2026-0187 locked PDF with subtotal Rs 40000 plus tax Rs 7200 equals Rs 47200 and 15 days validity, it was accepted in 4 hours. I once sent an 1800 USD quote as editable Word. It came back with my rate cut 20 percent.

India note on presentation accounts teams accept

I add seller GSTIN, buyer billing state, SAC 9983 or HSN, split tax and TDS note. My Rs 47200 PDF shows 50 percent advance Rs 23600 via UPI, balance Net 7, delivery via email in 10 days.

Global note on presentation that travels

UK and EU show VAT plus ID with reverse charge where valid. US shows state logic like Austin 8.5 percent, Net 14, client covers wire fees. My 1200 USD remote retainer shows zero tax for out-of-state delivery, total 1200 USD.

Follow-up errors from slow sending to no nudge

I lost a 2400 USD retainer in March because I polished the PDF for six days. Now I send same day in about 25 minutes. Last month my Friday review rescued Rs 86400. My cadence is Day 0 send with total and expiry, Day 3 value nudge with slot not discount, Day 10 reminder plus expiry warning, Day 15 re-quote offer. I clone accepted quotes to sales order then invoice identical lines, and issue receipt same hour with the invoice generator chain.

  • Send same day, quotes after 48 hours lose half power
  • Nudge day 3 and 10 with value, warn day 13 to 14
  • Void expired, re-issue QT-2026-0158 fresh, never overwrite

Pre-send checklist plus next steps to L1 quotation guide and follow-up guide

I run this 90-second check before send. Read totals aloud, check sequence, dates, tax, scope cap and advance line. Fix in the quotation generator, never in email after send.
